CRM Setup
CRM Setup is opened from CRM > Setup > Configuration. The workspace contains tabs for Lead Sources and Pipeline Stages.
Good CRM setup should make data entry fast and reporting consistent. Avoid creating too many similar sources or stages.
Workspace Reference
| Tab | Main Action | Purpose |
|---|---|---|
| Lead Sources | Use Add Source. | Defines where prospects come from so acquisition reporting is consistent. |
| Pipeline Stages | Use Add Stage. | Defines the sales process, stage order, probabilities, and final won/lost states. |
Lead Sources
Lead sources explain where prospects come from. The Lead Sources table shows code, source name, channel, and active status.
Use Add Source to create a source.
Important fields:
- Source Name is the user-facing name selected on leads.
- Channel groups the source, such as Web Form, Email, Phone, Referral, Event, Social Media, Advertising, Cold Call, Partner, or Other.
Use Edit to update a source. Use Delete only when the source should no longer be used; the action deactivates the source so users stop selecting it for new leads.
Good examples are “Website Enquiry”, “Walk-in Referral”, “Trade Fair”, “Facebook Campaign”, or “Partner Agent”.
Pipeline Stages
Pipeline stages define how leads and opportunities move from first contact to won, lost, or closed.
The Pipeline Stages table shows order, code, stage name, color, win probability, closed-stage flag, won-stage flag, lost-stage flag, and active status.
Use Add Stage to create a stage.
Important fields:
- Stage Name is the user-facing label.
- Stage Order controls the order in which stages appear. Use 1 for the first stage.
- Win Probability % is the default likelihood used for pipeline reporting.
- Color Hex controls the visual color shown beside the stage.
- Expected Days in Stage helps identify stale leads or opportunities.
- Is Closed Stage marks a final stage.
- Is Won Stage marks a successful final stage.
- Is Lost Stage marks an unsuccessful final stage.
Only final outcomes should be marked as closed stages. A stage should not normally be both won and lost.
Setup Checklist
Before users start capturing leads:

- Confirm stages are in the correct order.
- Confirm win probabilities are realistic.
- Confirm won and lost stages are clearly marked.
- Confirm users know when a lead should become an opportunity or be converted to a client.
- Test one lead from creation through stage change, activity logging, and conversion.
