Employee Self-Service: My HR ​

My HR is the employee-facing workspace for a signed-in user to review their own HR information and submit supported requests. It is not the employee register and is not a manager console. The employee must be correctly linked to the signed-in account, and server-side APIs must enforce that identity scope.

The current workspace has five independently gated tabs. Each tab requires both its view permission and its capability; a missing tab does not necessarily mean the whole HR service is unavailable.

Capability activation does not grant any of these permissions. The frontend preserves a permissions-only view while the service has no capability evidence during migration; the backend remains responsible for authorization and employee-level scoping. Before an employee uses My HR ​

An administrator should verify:

  1. The person has one approved HR employee record linked to the correct Party.
  2. The system user is linked to that employee, not merely given a similar display name or email.
  3. The correct company-service is active in the user's session.
  4. The service has enabled the relevant capability and the user's role has the corresponding own-record permission.
  5. Sensitive information and document access follow the service's privacy and retention policy.

If the login is not linked to an employee, a self-service endpoint should not be broadened to accept an arbitrary employee number or internal employee ID as a workaround. Correct the identity link through the authorized user/employee administration process, then sign in again and verify the profile.

My Profile ​

The profile screen displays the employee name, employee number, business unit, employment status, personal details, hire date, employment type, position, job, grade and reporting manager where available. A missing value may mean the underlying approved employee/employment record has no value; it is not necessarily a rendering defect.

The observed profile route is a read operation. It is not a profile-edit form. If a name, phone, national ID or employment field is wrong, contact an authorized HR administrator to correct the source record through Employee Management. The user's ability to view their own profile does not imply access to another employee's full profile or sensitive HR fields.

My Payslips ​

The screen lists payslips available to the signed-in employee. A payslip card shows the payroll period/reference and pay date, summary gross pay, deductions, net pay and currency, plus individual payroll component lines. The user can open the formatted payslip view and use the supported export action.

If no payslip appears, check the following in order:

  1. The active account resolves to the correct employee.
  2. The payroll run is approved and a payslip exists for that employee/run.
  3. The employee is within the authorized own-record scope.
  4. The user has VIEW_HR_OWN_PAYSLIP, HR Payroll is active, and the self-service endpoint is available.
  5. The selected service is the service in which payroll was processed.

An empty list is not proof that payroll was never run: the run may be pending, the payslip may not be generated, or the employee/account/service link may not match. Check payroll run detail and the own-payslip endpoint response before changing permissions.

My Documents ​

My Documents lists approved HR documents linked to the employee. It presents document number/type/date/status and available reference/notes. The current UI filter includes approved, issued and final status values and supports date filters. It is a read view; no self-service upload or approval action is exposed here.

If a document is absent, confirm that it is attached to the correct employee, has an allowed final status, is in the active service, and is visible under the own-document permission. Do not attach a draft, rejected or unrelated company document just to populate the page. The current surface is not a complete employee document-expiry or statutory-compliance register; see Implementation Coverage.

My Leave ​

The table shows leave type, start/end dates, duration, request and approval states, and submission date. A user with the own-leave create permission can submit a request by selecting an eligible leave type, entering dates and the required reason, and submitting it for the ordinary HR approval workflow.

After submission, the user should check the request row for its current state. Submitted is not approved; approved is not proof that roster coverage has been arranged or that payroll consumed the leave. Changes and cancellations should follow the supported source workflow and retain its audit history. The current My Leave screen does not let employees directly alter leave balances or approve their own requests.

If a request is rejected or remains pending, verify its decision/reason and approver through the owning HR leave workflow. For wrong dates or a missing leave type, do not submit a duplicate without first checking the existing request and the leave administrator's correction process.

My Attendance ​

The table displays date, clock-in/out, hours, overtime, status, approval state and source. Filters allow status, approval state and date range. The user may request correction when the required correction permission is granted; the request follows HR review and the standard attendance/payroll controls.

A correction request is not the corrected attendance event. The employee should provide the correct date and clock facts and a clear explanation. An authorized reviewer confirms or rejects the correction; approved event details should then be re-read from the attendance table and checked against any payroll run that consumed that period. Do not edit an approved source row outside the supported correction path.

Manager and HR administrator responsibilities ​

Managers review requests through their team or the owning workflow; they do not gain access to all employee records merely because they have direct reports. HR administrators maintain identity links, source records and policy. Payroll users own run/payslip generation; self-service viewing does not authorize payroll calculation, approval, GL posting or payment. Document administrators own issue, approval, retention and access controls.
