The Share Registry manages who owns shares, which certificates represent ownership evidence, and which beneficiaries are linked to a share account.
Use the registry when creating accounts, reviewing ownership, managing certificate records, checking restrictions, or maintaining beneficiary information.

Share Accounts
Share accounts connect a party to a share product. The account records ownership context, status, balances, restrictions, beneficiaries, certificates, and activity history.
Typical account lifecycle:
- Create the share account for the correct party and product.
- Confirm currency, business unit, opening terms, and product restrictions.
- Submit or approve the account where required.
- Record share transactions that affect ownership.
- Maintain certificates and beneficiaries.
- Review restrictions before transfers, pledges, withdrawals, or distributions.
- Close the account only when policy allows and there are no blocking balances or obligations.

Account Statuses
Status names can vary by configuration, but users should interpret them consistently:
- Draft or pending: the account is being prepared and may not yet be usable.
- Submitted or awaiting approval: the account is waiting for review.
- Active: the account can participate in allowed share operations.
- Suspended or restricted: some actions may be blocked by policy, compliance, pledges, or approvals.
- Closed: the account should no longer receive normal share transactions.
Before approving transactions, check both the account status and the available-unit balance. An active account can still have unavailable units because of pledges, locks, or pending requests.
Share Certificates
Certificates are formal evidence of share ownership. A certificate should only be issued when the underlying share account and approved ownership position support it.
Certificate management should track:
- certificate holder;
- share account;
- product and share class;
- share quantity or value represented;
- issue date and issuing authority;
- certificate status;
- replacement, cancellation, surrender, or reissue notes where applicable.
Common certificate actions include:
- Issue: creates formal evidence for approved shares.
- Replace: records a replacement for a lost, damaged, or corrected certificate.
- Cancel: marks a certificate as no longer valid.
- Surrender: records that a certificate was returned during transfer, redemption, or closure.
- Reissue: creates a new certificate after a qualifying change.
Certificates should not be used as the only source of truth. The share account and approved transactions remain the operational ownership record. If the certificate and account balance disagree, investigate before issuing, cancelling, or paying anything.
Beneficiaries
Beneficiaries record people or parties linked to a share account for succession, entitlement, or administrative purposes.
Beneficiary records should capture the beneficiary identity, relationship or role, percentage or entitlement where policy requires it, contact details, status, and supporting evidence if needed.
Users should keep beneficiary details accurate and review them when:
- the account holder changes;
- the account is pledged, withdrawn, transferred, or closed;
- the organization prepares distributions;
- governance or compliance teams request an ownership review;
- a legal or succession event is reported.
Registry Review Checklist
Before relying on a share account for transactions, certificates, dividends, or governance:
- Confirm the party is the correct holder.
- Confirm the share product and currency.
- Confirm the account is approved or active.
- Review total, paid-up, pledged, locked, and available units.
- Review pending transfers, pledges, withdrawals, or capital-call obligations.
- Confirm certificate records match the account position.
- Confirm beneficiary records are current where the organization uses them.
