POS Offline Cash Sale Continuity
This guide covers the narrow POS offline pilot for cash-only sale capture during a temporary loss of connectivity.
The pilot does not make POS fully offline. It allows an approved cashier to keep capturing simple cash receipts from a prepared offline work pack, then sync those receipts back to the central tenant when connectivity returns.
Current Scope
| Area | Offline Behavior |
|---|---|
| Cash sale capture | Allowed only when the cashier has an active offline profile, active work pack, cached sale items, and an open register session that was already loaded before going offline. |
| Local receipt | A pending local receipt can be viewed or printed while waiting for sync. It is not the final central receipt. |
| Sync console | Supervisors can review pending, reconciled, and review-needed cash receipts from the Offline Sync console. |
| Central replay | Accepted receipts map the local receipt reference to the central receipt reference after sync. |
| Register session open or close | Online-only. Register accountability still requires central connectivity. |
| EOD processing | Online-only. EOD must not run until offline queues and session variances are reviewed. |
| Provider-backed tenders | Online-only. Mobile money, wallet, card, bank, cheque, gift-card, loyalty, and customer-deposit flows require central/provider confirmation. |
| Returns and exchanges | Online-only until dedicated return, stock, refund, and conflict policies are approved. |
Before Going Offline
- Open the register session while online.
- Confirm the cashier, register, POS profile, till, business unit, and opening cash.
- Load the Sales workspace and confirm the sale-item list is visible.
- Confirm cash is an enabled payment channel for the profile.
- Resolve any pending receipt, failed sync, or conflict shown in the Offline Sync console.
- Keep the browser tab open during poor-network periods when possible.
Do not start a new offline selling session if the register session was not already opened and loaded while online.
Capturing Cash Sales Offline
When the network is unavailable, only complete a sale offline if all of these are true:
| Check | Required State |
|---|---|
| Register session | Already open and selected. |
| Payment | Cash-only, with the full receipt total covered by cash. |
| Item source | Item is available in the cached POS sale-item list. |
| Quantity | Quantity and UOM are correct for the cached item. |
| Customer deposit or credit | Not used. |
| Provider reference | Not required. |
| Receipt | Printed or shown as a pending local receipt. |
If any check fails, wait for central connectivity before completing the sale.
Pending Local Receipt Rules
Pending local receipts are operational evidence, not final central receipts.
Cashiers should:
- give the customer the pending local receipt only when branch policy allows it
- tell the customer that final central posting follows sync
- keep the Sales tab open if the network is poor
- avoid retrying the same basket as a new sale unless a supervisor confirms the original queue entry failed permanently
The local receipt reference remains useful after sync because the Offline Sync console shows both the local and central receipt references.
Reconnect And Sync Review
When the network returns:
- Open the Offline Sync console from the network banner.
- Use Pending to confirm which local receipts are still queued.
- Use Reconciled to confirm accepted receipts and their central receipt references.
- Use Needs Review for rejected, failed, cancelled, or conflict rows.
- Compare the local receipt, central receipt, cash amount, line count, outcome, updated time, and message.
- Do not close the register session until all review-needed rows have an agreed outcome.
If a receipt is accepted as a duplicate, supervisors should verify that the central receipt reference points to the expected original sale before treating it as reconciled.
Register Close And EOD
Register close and EOD remain central-connectivity activities.
Before closing a register session:
- sync all pending POS cash receipts
- review all failed, rejected, cancelled, or conflict receipts
- compare counted cash against accepted central receipts plus any approved pending local exceptions
- attach notes for variance, duplicate replay, or rejected receipt follow-up
Before EOD:
- confirm no cashier has unresolved POS offline cash-sale work
- confirm settlement review does not depend on pending provider-backed POS activity
- confirm Inventory, Payments, Accounting, and POS reports agree for accepted receipts
- record any open exception in the supervisor handover
Supervisor Checklist
| Review Item | What To Confirm |
|---|---|
| Local to central mapping | Every accepted local receipt has the expected central receipt reference. |
| Duplicate replay | Duplicate outcomes point to a valid central receipt and were not entered again manually. |
| Failed or rejected rows | The message explains the block and the cashier did not continue using the same local reference. |
| Cash count | Physical cash agrees with accepted receipts and approved pending exceptions. |
| Stock impact | Stock-managed items appear in central inventory movement review after acceptance. |
| GL and settlement impact | Accepted cash receipts are visible in POS, Accounting, and cash/till review. |
