Driving School Setup

Driving School setup defines what can be sold and what resources can be scheduled. Complete setup before users start subscriptions, lesson scheduling, permit applications, or payment collection.

Open Driving School -> Setup -> Products.

The product form opens as Add Driving Product when creating a product and Edit Driving Product when maintaining an existing product. Product setup controls what users can select during enrollments, payment collection, lessons, permit applications, authority payments, certificates, and commissions.

Driving Products

Driving products are the services offered to students. A product may be a course, permit service, bundle, or other driving-school service.

The product list shows the product code, product name, type, vehicle class, transmission, theory hours, practical hours, sessions, price, government charge, internal income, accounting overrides, enrollment count, capacity, and active status.

Users with the right permission can add, edit, view, or deactivate products.

Click Add Product to create a new driving product.

Product Details

When creating or editing a product, configure the fields carefully because they drive downstream operations.

Important product fields:

Pricing

Pricing controls what the student is expected to pay.

Important pricing fields:

FieldMeaning
Product PriceStandard catalog price.
Fixed PriceWhen enabled, staff cannot negotiate below a custom amount because the product has a fixed price.
Minimum PriceUsed only when fixed pricing is disabled. It sets the lowest allowed negotiated fee.
Allow InstallmentsLets the subscription be paid over more than one payment.
Max InstallmentsLimits the number of installments for the product.

For variable-price products, the subscription form asks for the negotiated amount and validates it against the minimum price.

Government And Authority Charges

Some products include money collected on behalf of an external authority. These amounts are separated from school income.

When Has Government Charges is enabled, the form exposes component fields such as:

  • Learners Amount
  • IOV Amount
  • Full Permit Amount
  • Other Authority Amount

The system calculates:

  • Government Charge Amount: The total authority portion.
  • Government Charge %: The authority share of the full product price.
  • Internal Income Amount: Product price minus authority charges.
  • Internal Income %: The school-income share.

This split matters because student payments later show how much became school income and how much remains payable to the authority.

Use authority-charge fields only for money collected on behalf of an external authority. Do not include normal school income in the authority portion, because that will make student payment splits and authority remittance wrong.

Enrollment Controls

Enrollment controls decide whether the product can be selected for a student subscription.

Allow EnrollmentEnables the product for subscription. If disabled, users should not select it for new enrollments.
Max Active EnrollmentsOptional capacity limit. When filled, excess demand can be managed through the waiting list.
Requires LessonsIndicates whether lessons are expected before completion. Users with special permission can schedule lessons even when the product does not require them.

Accounting Overrides

Products can optionally specify the income account and authority payable account used for driving-school posting.

If these are left blank, the configured driving-school defaults are used. Finance users should only override them when a specific product must post differently from the standard driving setup.

Vehicles

Vehicles are maintained in Assets and mirrored into Driving School for scheduling. The Driving School vehicle page is a scheduling-readiness view, not the asset master.

The vehicle list shows:

  • Asset tag and description.
  • Plate number.
  • Vehicle class.
  • Make and model.
  • Transmission.
  • Status.

Keep vehicle details current in Assets so lesson schedulers can choose the correct active vehicle for practical sessions.

Setup Checklist

Before going live:

  • Confirm every sold product has the correct vehicle class and transmission.
  • Confirm product pricing and minimum pricing are correct.
  • Confirm government-charge components are enabled only where authority money is collected.
  • Confirm installment rules match business policy.
  • Confirm enrollment limits match operational capacity.
  • Confirm active vehicles have the correct class, plate number, and transmission.
  • Confirm finance has reviewed income and authority-payable account behavior.
